Job Summary:

Roles in this level have responsibility to implement and maintain policies and procedures across all functions for documents management in line with industry best practices, regulatory and compliance requirements. S/He is required to engage with various functions to facilitate the management of Company Project Deliverables and to monitor compliance to Project Document Procedure.

S/He shall ensure, maintain and control availability of documents / drawings in EDMS that new and/or revised documents / drawings are uploaded properly & accurately in PDB/PDBc/VDB as well as Client PRODOM in a systematic, efficient and effective way. The role shall also include monitoring with the various subcontractors that they are uploading their documents properly and accurately to their respective Project EDMS Platform in a systematic, efficient and effective way and jointly identify and resolve issues, identify and implement areas of improvement. S/He shall contribute in the responsible monitoring of the allocated Manhour budgets for the project assigned to him/her.

In addition, this role is required to work within Department along with various project teams and the respective vendors (if applicable) to plan, monitor, control the creation and update of engineering drawings / documents and generate regular reports on them during various stages of projects. Besides, S/He ensure availability of technical Codes & Standards whenever it is applicable and requested by the engineering team.

Key Accountabilities:

Manage TechnipFMC Project EDMS & CLIENT ASSAI / PRODOM:

  • To develop, implement and maintain policies and procedures for documents (records) management in line with best industry practices, regulatory and compliance requirements
  • To identify, categorize and code documents, perform quality control checks as needed, maintain files, and file/retrieve documents from hard copy filing systems in central archive
  • Electronic file indexing / archiving. (Ensure the orderly storage of documents / drawings in a controlled area with limited access and their expedient retrieval when requested)

Coordinating Role:

  • To provide support to the Department’s Head in terms of Training of the DCC Team, clerical tasks of the department and the EDMS Management
  • To function as Lead Document Controller in every awarded project
  • To work with various project teams and vendors - to plan, monitor, control the creation and update of engineering drawings / documents and generate regular reports on them during various stages of projects
  • To be primarily responsible for coordination and maintenance of Company’s technical drawings and documents repository in EDMS
  • To ensure all Company, vendor and contractor / subcontractor documents / drawings / communications and transmittals for various projects in P.D are logged and indexes
  • Facilitate document / drawing package preparation and printing whenever it is necessary
  • Scanning and processing of redlined submittal documents and Construction Dossiers whenever it is necessary
  • Ensure secure transfer of documents to and from Company to third party using the standard FTP platform
  • Coordinate and Verify digitization of Company’s documents / drawings and their transfer to storage media
  • Routinely perform periodic performance and quality checks:
    • To enforce document control system requirements
    • On existing and new drawings / documents,
    • On digitization of new and existing drawings/documents and
    • On documents being uploaded properly to various Document management system modules.
  • Management of various contractors related to document management and archiving

End-User Requirement for Documentation:

  • Consult with various end users to identify and document business requirements and problems to automate or improve existing systems/ processes.

Management System:

  • Comply with all relevant procedures both of the Client and the Corporate standard procedures
  • To generate regular EDMS reports
Minimum requirement:
  • Bachelor’s degree (4 years)
  • Relevant certification for excellence in Excel or equivalent will be an added advantage
  • Minimum at least 10 years’ experience of using EDMS (electronic document control systems)
  • Exposure to QP Documentation Procedure and management of ASSAI
  • Exposure in TechnipFMC EDMS, namely: PDB / PDBc / VDB as well as PRODOM will be an added advantage
  • Strong computer skills required
  • Experience with Microsoft Office Applications, AutoCAD and Adobe Acrobat Professional is a must
  • Excellent communication, organizational and teamwork skills are required
  • Experience with full size drawing plotters and high volume copiers / scanners are required
  • Ability to handle multiple assignments at the same time
  • Demonstrated attention to detail and ability to set and meet deadlines
  • Ability to be organized, accurate, and timely
  • Positive customer (internal and external) service orientation
