Service Administrator

Manage and give accurate administrative support to the service department in Saudi Arabia

  • Secondary or higher education (Business Administration or similar)

  • Experience in/understanding of financial aspects in projects

  • Knowledge of English and Arabic languages both verbal and written

  • Valid driver’s license
  • Very good interpersonal and communication skills
  • Mature attitude and able to command respect
  • Competent to support and suggest service admin improvement initiatives

  • Capable of multi-tasking
  • Accurate, eye for detail, helicopter view
  • Self-motivated and able to motivate others
  • High level Excel user
  • PC knowledge (Microsoft Office) and an ERP system (preferably SAP)


Minimum of 4 years of relevant experience in administrative and operational environment

  • Team Player

No direct report to this position but acting as a focal point for all service administration duties. In that respect many stakeholders within different departments who are supplied with input or receiving input is received from. It’s a central role.

The Service Administrator is responsible for the daily administrative tasks in the service department. The Service Administrator is responsible and first point of contact for the administration in the service department. Receives internal and external assignments in the form of objectives and determines how to complete these tasks in a timely manner with a high level of accuracy in order to meet deadlines and goals.


The Service Administrator works on issues of diverse scope where analysis of situation or data requires evaluation of a variety of factors. Act as internal and external advisor to meet schedules and or resolve cost control and or any arising admin or system problems. Provide accurate input for several departments for management reporting and KPI’s


Clear processes and procedures are written in order to perform the job, however these need to be reviewed and updated within guidelines. Provides inputs for management reporting but does not carry responsibility for the reports.  


WORK ENVIRONMENT:  Describe general working conditions (i.e. noise level, temperature, around heavy machinery) 

  • You mainly operating in an office environment

  • Occasional travel to Bahrain and Abu Dhabi may be involved


PHYSICAL DEMANDS:  Describe amount & frequency of physical requirements of the position (i.e. lifting, pushing, climbing)

  • Physical exposure will be minimal
  • Work can be hectic and stressful
  • A level of flexibility is required for example during month end
Duties and Responsibilities
  • Supervise the order execution process from an admin perspective together with the Service PM group
  • Communicate, report and inform management and suggest solutions to any issues that will impact profitability and any on time delivery of your duties
  • Creation of projects, (service) orders, contracts, order confirmations
  • Invoicing administration of service and workshop orders in time after job completion/approval
  • Create pro-forma’s for sales orders
  • Prepare financial accruals
  • Accounts receivable analysis and follow up
  • Provide financial and logistic month-end support to project managers
  • Provide evaluation and information of project results to PM’s and management
  • Create, propose and implement improvements in the current processes
  • Write instructions on working processes that have been changed (manual)
  • To check and complete finished projects from a system perspective
  • Support project manager with service management information
  • Sub consequently keeps track of KPI’s with guidelines
  • To process reports of onshore and offshore personnel
  • Administrative work preparation for Workshop and Service activities
  • Administration of working hours of the Field Service Technicians
  • Organises the mobilisation and demobilisation of the Field Service Technicians based upon the service planning. Make travel arrangements/reservations for our FST’s. this contains flights, hotel, necessary transport etc.
  • Book and plan certification renewals like H2S, Offshore survival trainings etc. Both internal and external TechnipFMC trainings
  • Policies / procedures, ensure all policies and procedures linked to your function are understood, followed and maintained
  • Work closely and in harmony with other departments within the Saudi and SI organisation
  • Set-up and manage the forecast of the customer demand to the local organization
